Writing Helpful Help - A Minimalism Checklist

User documentation is all too often written by programmers for programmers. It tends to focus on the product’s features, rather than the user’s tasks. Generally, programmers aren’t in the ideal position to be writing user documentation. They’re too close to the bits and bytes, and they’re too far from the user. To them, what the product can do tends to be far more important than what the user can do with the product.

It’s a subtle - but vital - distinction. Research shows that the key to effective user documentation is writing task oriented help. Even better, write your help according to the minimalist theory. In the documentation world, “minimalism” is a fancy word for a commonsense practice. In basic terms, it means write to your reader and keep it simple.

The theory itself has a lot of twists and turns. If you want to read a great - but slightly wordy - book on the subject, check out the book “Minimalism Beyond the Nurnberg Funnel”, 1998, edited by John Carroll.

In the meantime, if you can tick every item in the following checklist, you’ll be well on your way to usable online help that both your readers and your managers will thank you for.

Helpful Help Checklist

1. Base the help on real tasks (or realistic examples)

2. Structure the help based on task sequence - Chapter headings should be goals and topics should be tasks

3. Respect the reader’s activity - this is generally more about what you don’t do than what you do. Don’t waste the reader’s time by diving off into tangents

4. Exploit prior knowledge and experience - Draw the reader’s attention to previous tasks, experiences, successes, and failures

5. Prevent mistakes - “Ensure you do x before doing y”

6. Detect and identify mistakes - “If this fails, you may have entered the path incorrectly”

7. Fix mistakes - “Re-enter the path”

8. Provide error info at end of tasks where necessary (rule of thumb, one error info note per three tasks is a good average)

9. Don’t break up instructions with notes, cautions, warnings, and exceptional cases - Put these things at the end of the instruction, wherever possible

10. Be brief, don’t spell everything out, especially things that can be taken for granted

11. Omit conceptual and note information where possible, or link to it. Perhaps provide expansion information at the end of the topic, plus maybe a note that there are other ways to perform the task/goal, but this is the easiest

12. Sections should look short and read short

13. Provide closure for sections (e.g., back to original screen/goal)

14. Provide an immediate opportunity to act and encourage exploration and innovation (use active invitations to act, such as, “See for yourself…” or “Try this…” rather than passive invitations such as, “You can…”)

15. Get users started quickly

16. Allow for reading in any order - make each section modular, especially goals, but perhaps tasks (definitely if they can be performed in different order)

17. Highlight things that are not typical

18. Use active voice rather than passive voice

19. Try to account for the user’s environment in your writing

20. Before writing anything, ask yourself “Will this help my reader?”

By building these practices into your documentation process, you’ll find that your online help becomes easier to write, shorter, and far more usable for your reader. What’s more, your boss will love you!

Bluetooth gps vs. cf gps

For some people there is a debate over which to choose a Bluetooth gps receiver or a compact flash gps receiver. I have used both so I am writing from experience. There seem to be quite a few advantages a Bluetooth gps receiver has over a cf gps receiver.

The main advantage would be versatility, you can use a Bluetooth gps receiver with a Bluetooth pda as well as a compatible bluetooth mobile phone whereas with a cf gps receiver you are limited to only a compatible pda as mobile phones usually don’t have a cf slot.

Another advantage is with regards to battery life, some bluetooth gps receivers have exceptional battery life lasting up to 26 hours, some mobile phones also have a long life, although a pda won’t last anywhere near that, when using a cf gps receiver the pda battery is usually depleted faster as the it has to also power the cf receiver since the cf receiver can’t work on its own

The third consideration is convenience, one can find some new gps receivers that are extremely small, the holux gpslim 236 comes to mind, because of their size and sensitivity you can stick them in your pocket and still get a very good signal so you don’t have anything sticking out of the pda as is the case with a cf gps receiver.

Another thing to consider is that a lot of newer pdas seem to be loosing the compact flash interface, a good example is the fujitsu siemens loox 720, it has being rumoured that the loox 720 replacement won’t be including a cf interface. My conclusion would be it seems that manufacturers don’t consider the cf interface that important to include in newer pdas, kind of like being phased out so it might not be a good idea to invest in cf devices

My final argument would be that when it comes to using a gps receiver for driving, it is easier to position a bluetooth gps receiver in a convenient position where it can receive a better signal than with a cf gps receiver because since the cf gps receiver is fixed to the pda, you are limited by how much you can move the pda around and still have a good view of the pda screen.

Based on all these facts I would consider a bluetooth gps receiver a better choice to a cf gps receiver.

Robotic MAV- Micro Air Vehicle Based on an Organic Humming Bird Model

MAV Micro Air Vehicle Based on Organic Hummingbird Model. There is no more interesting bird than a humming bird. Some humming bird species migrate, 500 miles? Wow. Efficient little bird isn’t it? It’s wings move between 60-80 flap cycles per minute. We have produced a drawing for a little MAV humming bird and found a suitable motor. It spins 15,000 rpm. Check out this little Brushless Motor?

In our model we use a little motor live this with a small shaft on it in front of the wing spar. The shaft has an oval shape gear on it with no teeth. As the shaft spins the off center shape about the size of a dime touches the center of the flexible wing spar in the center. The wings are attached to this spar, which is a material, which has memory and as soon as it is pushed out it bounces back with elasticity, which means you get 15,000 flaps per minute. A gear reduction of 400:1 would give our design of this miniature bird the proper flying ability and it could travel at my desired speed.

Having observed humming birds in hummingbird feeders and watching them dive bomb the bunnies in rabbit enclosures and cats in areas nearby their favorite nectar locals. They would feed on apples that would ferment, get drunk and do some really crazy stunt flying. It seemed like they could almost do what dragon flies do–hover in one place and then spin 180 degrees and fly off in the opposite direction. In our model we use various known aerodynamic methods to work through these issues. This is easily doable with control surfaces since the wings produce airflows. Using the Strouhal number we have calculated the speed of the motor and frequency of the flap cycle needed. The Strouhal number is amazing that the number falls in the same range for 42 species. The optimal point for movement through current whether air or water certainly would point out the highest propulsive efficiency.

We can certainly see why the Universities, R & D people and military are all looking at this. We have done much studying on the ideas of an Organic Unmanned Vehicle or MAV matching what evolution has taught us. The depth of the wings is in proportion to the length and width of the wing is much of a factor in the heights that birds are able to achieve. An interesting documentary that often plays on the discovery channel called: “Winged Migration” by Jacques Perrin, director. Film crews followed bird migration through 40 countries, each of the 7 continents and all 4 seasons using everything from hot air balloons to gliders to get the best footage. This will give you good insight into the migratory process of birds and how they fly, close-up and personal. Having little insect sized machines or even bird-sized machines would be easy to ignore. I probably wouldn’t ignore something like that if it flew by, but most people would. We should be looking at the flight patterns of hummingbirds as they are fascinating to watch. and it could be powered by a small Fuel Cell and battery, like the small ones being made for Cell Phones now. This was briefly discussed by President and CEO of Sprint at the CES show this week. A small MAV or electric humming bird could drop these like tiny cameras like bombs or bird droppings where they always land right side up, in the ground and they are on-site cameras which can be used for surveillance or perimeter security? And is this camera technology worthy of MAV picture taking? And in case you think this is too far out, think again, have you seen this yet? A miniature micro helicopter.

Regarding the MAV, UAV, OUV, etc. I understand that you may not understand what these are. UAV in an Ummanned Aerial vehicle, MAV is a Micro Air Vehicle and OUV we made up is now an Organic Unmanned vehicle. We are also getting a little unnerved by all these TLA- Three Letter Acronyms? It is difficult enough to keep up with all these mathematic symbols all these people keep inventing, but throwing in the TLAs too, makes for a very TLA- Tough Long Assignment?

The way we see it we can maneuver our unit through anything or around any one. Is this possible? We believe it is.
